How to choose society management software: 12 questions to ask

Twelve questions to ask any society management vendor — about the gate, the accounting, the video, the price per flat, and what happens if you leave.

How do you compare society management software fairly?

Ask every vendor the same twelve questions and write the answers down side by side. Demos are built to look good. These questions decide whether the software survives contact with your gate, your accountant and your residents.

We sell AKCS. The guide still works if you pick someone else. Where AKCS has a clear answer we have given it, including where the answer is no.

What should you ask about the gate?

The gate is where this software is actually used, by people who did not choose it.

  1. What happens at the gate when the internet drops? A good answer names the fallback — what the guard does, what gets recorded, what happens when the connection returns. A vendor who says it never happens has not run a gate in an Indian monsoon. AKCS: face match is built so an outage cannot seal the gate. We do not claim a full offline gate.
  2. Have you seen the screen the security personnel use? A good answer is a live demo on a real phone, in the guard's hand, not a slide. Look for one screen per task and large tap targets. AKCS ships a separate security app, and two details show who it was written for: the delivery collection code is stripped out of every guard screen, and Safe Pickup Mode shows the guard the tower only, not the flat number.
  3. Do we have to replace hardware? A good answer names the protocol your cameras must speak, not "works with any camera". AKCS Gate runs on phones the guards already carry. AKCS Vision reads RTSP streams and needs a processing box inside your property. Cameras that do not expose RTSP will not work.

What should you ask about money and the law?

  1. Is the accounting real double-entry, and what is not built? A good answer names the reports and admits the gaps. Real accounting means a chart of accounts, vouchers, fiscal periods you can lock, and a trial balance. AKCS has that, plus a balance sheet, income statement, cash flow, AR ageing in 0-30 / 31-60 / 61-90 / 90+ buckets, budget-versus-actual and per-flat unit statements. What AKCS does not have: bank reconciliation, fixed-deposit tracking, purchase orders, bulk receipt upload, utility consumption invoicing, GST return preparation, and an audit or AGM bundle. Those stay in your existing books.
  2. How are dues and defaulters handled? A good answer shows you the settings, not the outcome, so you can see what your committee controls. AKCS sends reminders daily at 07:30 — at T-3, on the due day, T+3 and T+7. Late fees run daily at 08:00, only if your community switched penalties on. Every defaulter limit ships off or at zero. One AKCS default is worth knowing before you sign: flag_at_gate is on, so the guard sees "dues pending" against a flat. Blocking amenities is off by default and only warns. Both can be turned off. Decide as a committee what a person at the gate should see, and check what your society's rules permit before you publish anything about a resident.
  1. What does it cost per flat, and what changes after the first year? A good answer is a per-flat number in writing, with the renewal price beside it. AKCS Gate is free during the launch period. After that:

What should you ask about residents and their data?

  1. What languages do residents get? A good answer is a list, not "multilingual". AKCS supports English, Telugu, Hindi, Kannada, Tamil and Malayalam in the app and in push, and each resident is notified in the language they chose. A resident can file a complaint in their own language, with the English translation stored alongside. Six languages is six — Marathi, Bengali and Gujarati are not there yet.
  2. Where does video get processed, and who can see it? A good answer says where the video physically goes. With AKCS Vision, processing happens on a box inside your property; the AKCS backend only receives the events it raises. Number-plate recognition runs on that same box, and those plate reads do not appear in the AKCS Gate entry log — the integration does not exist. Not built today: per-role permissions on CCTV access, and any automatic retention policy for events and clips. Write that policy yourself.
  3. How do we get our data out if we leave? A good answer is a working export, demonstrated during the trial. If a vendor cannot show you one, assume there is none. AKCS gives you CSV export and charges no exit fee.

What should you ask about the company, not the product?

  1. What does onboarding really involve, and how long? A good answer names what you supply and what breaks if it arrives late. AKCS takes about two weeks when your data is ready: week one is import, gate configuration and training your security personnel; week two is resident activation. Two catches — an invitation expires after 7 days, and a resident with no flat assigned sees an empty app. See your first two weeks.
  2. Who answers the phone when something breaks? A good answer is a person and a time window. AKCS: email and chat on Starter, phone support from 8am to 10pm IST on Community, and a named contact plus a 24/7 on-call engineer with AKCS Vision. Ask for the number of an existing community, and call that committee.
  3. What is shipping today, and what is roadmap? A good answer separates the two without being pushed. What AKCS does not do yet: person rules verified by OTP or face in the auto-approve engine, push notifications for camera detections, and webhooks or SDKs for your own tools.
If a vendor cannot name a single thing their product does not do, you have not found a complete product. You have found a sales script.

What do you do with the answers?

Score each vendor out of twelve. Run a pilot on one tower before signing for the whole community, and watch what the security personnel do on day three, once the novelty has worn off.
