UPI payment failed but money was debited — what happens next
If your UPI payment failed but money was debited, it is almost never lost, and here is how AKCS confirms payments and what to do while you wait.
Is my money lost?
Almost certainly not. One of two things is happening. Either the payment actually succeeded and AKCS has not received the confirmation yet, or the debit genuinely failed and your bank reverses it automatically. Do not pay the invoice a second time straight away.
AKCS never holds your money. Payments move from your bank to your community's payment gateway account. AKCS records the result and marks the invoice.
Why does the app say failed when my bank says debited?
Because a payment is confirmed over two separate paths, and only one of them runs on your phone.
- The redirect. After you approve the collect request in your UPI app, your browser or the AKCS app is sent back to the payment screen with the result. This path is fragile. Switching apps, a weak network, or closing the screen too early can break it, and AKCS then sees nothing.
- The server-to-server callback. Separately, the gateway posts the result directly to the AKCS server. This does not involve your phone at all, and it can arrive seconds or minutes after you have given up on the screen.
That is why a payment sometimes shows as successful a few minutes later even though the app looked like it failed. The second path caught up. Nothing was lost in between, and no action of yours was needed.
What should I do now?
Wait a few minutes, then check the invoice again before doing anything else. In order:
- Wait 10 to 15 minutes. Do not retry the payment in this window.
- Refresh the invoice in the AKCS app. Pull down on the payments list, or close and reopen the invoice. If the callback arrived, the status will have changed on its own.
- Check your bank statement or your UPI app history. Note the transaction reference (the UTR or the UPI transaction ID), the exact amount, and the date and time. Use your community's local time, not UTC.
- Check whether the debit reversed. A genuinely failed payment often comes back to the same account with no help from anyone.
- Contact your community office if the invoice is still unpaid after a few hours and the money has not returned.
When you contact the office, give them all of this in one message: your flat number, the invoice number (it looks like INV-2026-00042), the amount, the date and time you paid, the UPI transaction reference, and your bank name. The office can look up the payment against the gateway record with those details. Without the reference, the search is slow.
What do the payment statuses mean?
Each payment attempt carries its own status, separate from the invoice status. This is what you may see.

Invoices carry their own separate statuses: draft, sent, viewed, partial, paid, overdue, cancelled and refunded. A part payment leaves the invoice at partial with a balance still due. AKCS supports partial payments, so you can clear a large maintenance bill in more than one go.
Why does a paid invoice still say the money is not settled?
Settlement is tracked separately from the payment. Settlement is the gateway moving the collected money into your community's bank account, and it happens on the gateway's own cycle after your payment succeeds.
Your invoice is marked paid when the payment succeeds, not when the money settles. If you have a success payment, you have paid. Settlement is the treasurer's concern, not yours.
How long does a failed debit take to come back?
A genuine failed debit is reversed automatically by your bank or the payment gateway, typically within a few working days. Nobody at your community has to request it, and AKCS cannot make it faster.
The exact timeline depends on your bank and on which gateway your community uses. AKCS supports Razorpay, Cashfree and Easebuzz, and each community runs one of them. Ask your office which one is configured if your bank asks you for the merchant name.
Will I be charged a late fee while this is stuck?
Only if your community has penalties switched on. Late fees are calculated once a day at 08:00 community time, and only for communities that have enabled them.
Payment reminders run daily at 07:30. You get one three days before the due date, one on the due date, and two more three and seven days after.
Two things are worth knowing while a payment is unresolved:
- Communities can choose to show a dues pending flag to security personnel at the gate. This is on by default. It is a note on screen, not a barrier.
- If a payment is later reversed, any receipt already generated for it is stamped NOT VALID. Ask for a fresh receipt PDF once the correct payment is confirmed.
